Terms and Conditions
Effective date: 2 July 2026
These Terms and Conditions govern the provision of dental treatment and services by Dr Phil Aesthetics, a trading name of Phil End Dentistry Ltd ("we", "our", "us"). By booking an appointment or receiving treatment, you agree to these Terms and Conditions.
1. About us
Dr Phil Aesthetics is a private dental practice providing cosmetic, restorative, implant and general dental treatment.
All treatment is provided by appropriately qualified dental professionals registered with the General Dental Council (GDC).
2. Appointments
Appointments may be booked by telephone, email or online.
Appointment times are reserved exclusively for you. Please arrive at least 10 minutes before your appointment to complete any outstanding documentation.
If you arrive significantly late, we may be unable to complete your treatment safely and your appointment may need to be rearranged.
3. Deposits
Certain appointments require a deposit at the time of booking.
Deposits are deducted from the total treatment fee.
Deposits may be forfeited if appointments are cancelled outside our cancellation policy.
4. Cancellation policy
We kindly request a minimum of 48 working hours' notice to cancel or rearrange an appointment.
Appointments cancelled with less than 48 working hours' notice may incur a cancellation fee or loss of deposit.
Failure to attend an appointment without notice ("Did Not Attend") may result in:
- Loss of your deposit.
- A missed appointment fee.
- Future appointments requiring full pre-payment.
Repeated late cancellations or missed appointments may result in us declining future bookings.
5. Treatment estimates
Written treatment plans and fee estimates are valid for 90 days unless otherwise stated.
Treatment plans are estimates only.
Clinical findings may change during treatment, and additional procedures may become necessary. Should this occur, we will discuss any revised fees before proceeding wherever reasonably possible.
6. Payment
Payment is due on the day treatment is provided unless an alternative written agreement has been made.
We accept major debit and credit cards together with approved finance providers where applicable.
Failure to make payment may result in:
- Suspension of future appointments.
- Recovery of outstanding balances.
- Referral to debt recovery where appropriate.
7. Finance
Finance is subject to status and approval by the finance provider.
Finance agreements exist solely between the patient and the finance company.
Dr Phil Aesthetics is not responsible for lending decisions made by finance providers.
8. Cosmetic dentistry
Cosmetic dentistry aims to improve the appearance of your smile but cannot guarantee perfection.
Examples include:
- Composite bonding.
- Veneers.
- Smile makeovers.
- Teeth whitening.
- Clear aligner treatment.
Natural teeth vary considerably. Results depend upon:
- Your existing teeth.
- Oral health.
- Healing.
- Compliance with professional advice.
- Long-term maintenance.
Photographs, digital scans and AI smile simulations are provided to assist communication and treatment planning. They are illustrative only and do not constitute a guarantee of the final clinical result.
9. AI smile simulations
Where artificial intelligence or digital smile simulation technology is used:
- Images are intended as visual communication tools.
- They are not exact predictions of treatment outcomes.
- Final clinical results may differ from simulated images.
Treatment decisions should not be based solely upon simulated images.
10. Medical information
Patients must provide complete and accurate medical information.
It is the patient's responsibility to notify us of any changes to:
- Medical conditions.
- Medications.
- Allergies.
- Pregnancy status.
Failure to provide accurate information may affect the safety and suitability of treatment.
11. Consent
Treatment will only proceed following appropriate informed consent.
Patients may withdraw consent at any time before treatment begins.
Once treatment has commenced, fees remain payable for treatment already provided.
12. Records and photography
Clinical photographs, radiographs, scans and digital records form part of your dental record.
These records assist diagnosis, treatment planning, monitoring and continuity of care.
Records remain the property of Dr Phil Aesthetics while patients retain legal rights of access in accordance with applicable legislation.
13. Personal data
Your personal information is processed in accordance with UK data protection legislation and our Privacy Policy.
Information is only shared where necessary for your care, where you have consented, or where disclosure is required by law.
14. Laboratory work
Laboratory work is individually manufactured specifically for each patient.
Once laboratory work has commenced, laboratory fees are generally non-refundable.
Should treatment be discontinued after laboratory work has begun, patients remain responsible for any laboratory costs already incurred.
15. Guarantees
Dentistry involves biological processes, and no treatment can be guaranteed to last for a specific period.
Any goodwill repair or replacement offered by Dr Phil Aesthetics is entirely discretionary and does not affect your statutory rights.
Goodwill repairs do not apply where damage results from:
- Trauma or accidents.
- Sports injuries.
- Grinding or clenching.
- Poor oral hygiene.
- Failure to attend recommended maintenance appointments.
- Smoking or other lifestyle factors.
- Treatment carried out or altered by another clinician.
16. Maintenance
The long-term success of dental treatment depends upon ongoing maintenance.
Patients are responsible for:
- Maintaining good oral hygiene.
- Attending regular examinations.
- Attending hygiene appointments where recommended.
- Following all aftercare advice.
Failure to do so may reduce the lifespan of dental treatment.
17. Complaints
We are committed to providing high-quality care and welcome feedback. If you are dissatisfied with any aspect of your treatment or service, please let us know as soon as possible so that we can investigate your concerns fairly, promptly and confidentially.

We aim to acknowledge receipt of your complaint within three working days.
Following acknowledgement, we will investigate your concerns thoroughly and aim to provide you with a full written response as promptly as possible, normally within 10 working days. Where a complaint is particularly complex or requires information from third parties, the investigation may take longer. In such circumstances, we aim to complete our investigation within six months.
If we anticipate any delay, we will explain the reason, provide an estimated timescale for completion, and keep you informed of our progress with updates at least every 10 working days until the investigation is concluded.
Our final response will explain the outcome of our investigation, any actions taken, and any lessons learned or improvements made where appropriate.
18. Limitation of liability
Nothing within these Terms and Conditions excludes or limits liability where such limitation would be unlawful.
Subject to this, liability is limited to the treatment and services provided by Dr Phil Aesthetics.
19. Changes to these terms
We reserve the right to amend these Terms and Conditions from time to time.
The most up-to-date version will always be available on request and on our website.
20. Governing law
These Terms and Conditions are governed by the laws of England and Wales.
Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By booking an appointment and proceeding with treatment, you confirm that you have read, understood and accepted these Terms and Conditions.
